Zenning AI is a trading name of AllTheTables Limited, a company registered in England and Wales (company number 13700833). This policy explains how we send business email to people who have not contacted us first, the limits we keep to, what our customers may not do with Zenning, and how to report email you think is spam.
1. Scope
This policy applies to zenning.ai and to every domain we use for outreach email:
| Domain | What we use it for |
|---|---|
| zenning.ai | Our website and product. We never send outreach email from it. |
| getzenning.co.uk getzenning.com tryzenning.co.uk tryzenning.com zenning.co.uk zenninghq.com joinzenning.co.uk meetzenning.co.uk | The mailboxes our outreach email is sent from. |
| go.tryzenning.co.uk | The address of the links in our outreach email, including the link to our privacy notice. It forwards each link to zenning.ai or to sign-up at app.zenning.ai, and records visits to personal links. |
If we add or retire an outreach domain, we will update this list.
2. Our Own Outreach Email
We send one-to-one email to people at businesses who have not contacted us first, to tell them about Zenning. This section describes how that email works.
2.1 Who we contact
- People at businesses, in roles where Zenning is relevant to their work, such as founders, chief executives, managing directors and operations leaders.
- People at companies in the United Kingdom, Ireland and the United States only.
- Work email addresses only. We exclude addresses at free and personal email providers, such as Gmail, Outlook.com, Yahoo and iCloud, and shared addresses such as info@ or sales@.
- Companies with at least five employees, according to our data provider's records.
- We exclude government bodies, schools, and religious and political organisations.
2.2 Where contact details come from
We get business contact details (name, job title, work email address and company) from Apollo, a commercial provider of business contact data. Before we write to anyone, we check the address with an email verification service and, where their public LinkedIn profile is available, check that they still work in that role. We also read their company's website and recent news, so that what we write is about their business.
2.3 How each email is written and approved
Each email is written for the person receiving it. Our software prepares a draft from what we know about them and their company, and checks it against our rules. A draft that fails is rewritten once, and dropped if it fails again. A member of our team then reads every email in the sequence and approves it before any of it can be sent.
If you reply, any answer we send is checked and sent by a member of our team. The only exception is the single check-in described in section 2.5.
2.4 Who sends it and what it contains
Every outreach email is sent from the mailbox of one of our two co-founders, under their own name, and is signed with their name and job title. Our mailboxes are hosted by Google Workspace and Microsoft 365. Our subject lines never pretend to be a reply or a forward.
Every outreach email, follow-ups included, ends with:
- the name Zenning and our website, zenning.ai
- our phone number
- a link to our privacy notice
- our postal address, 38 Greenvale Road, London SE9 1PD
- a line explaining how to opt out: reply "no" and we will not email you again
Our outreach email also carries a standard List-Unsubscribe header, so email apps that support it can offer an unsubscribe button. We do not use tracking pixels to see whether an email has been opened.
2.5 How many emails, and how often
- Each person receives one sequence of at most four emails over about two weeks. We never start a second sequence with the same person, in any campaign.
- The sequence stops as soon as the person replies. When anyone at a company replies, the remaining emails to their colleagues in that campaign stop too.
- In each campaign, we email no more than two people at the same company at a time.
- If you reply that now is not a good time, we send you one check-in in the same email thread, after the date you suggest or after about 75 days if you do not suggest one. Our software prepares and sends this check-in without a separate review. It is not sent if you have opted out or have replied again since.
- Each mailbox sends no more than 30 outreach emails a day, follow-ups included. A new mailbox sends at most 3 a day while it warms up, then starts at 5 a day and goes up by 5 a week, but only while its bounce rate and health score stay within our limits.
- A mailbox is paused automatically if 3% or more of its emails bounce, if its health score falls below our threshold, or if its domain fails our daily DNS or blocklist check. It stays paused for at least 14 days.
3. Opting Out
To opt out, reply to any of our emails. Any reply stops the rest of the sequence. If your reply says no, asks us to stop or complains, we add your address to our suppression list. If you ask us to, we add your company's whole domain as well, so that nobody else there hears from us.
We also add an address to the list when its owner uses the unsubscribe option in their email app, when an email to it bounces, or when its owner signs up to Zenning. A sign-up from a work address adds the company's domain too.
The suppression list is permanent and applies to every campaign, mailbox and domain we use. We check it before we research or write to anyone, and again before an email is queued to send. We store each entry as a one-way keyed hash, so an opt-out stays in force after we delete the rest of your details.
Opt-outs are processed automatically as soon as they reach us, well within the 10 business days that the US CAN-SPAM Act allows.
4. Legal Basis
United Kingdom. Under the Privacy and Electronic Communications Regulations 2003 (PECR), marketing email to corporate subscribers, such as limited companies and LLPs, does not need prior consent, but the sender must not hide their identity and must give a valid address for opting out. PECR treats sole traders like individuals, who must consent first, so we exclude personal email addresses and only contact companies with at least five employees. A named person's work email address is still personal data, so under UK GDPR we rely on legitimate interests (Article 6(1)(f)), and we include a link to our privacy notice in every outreach email.
Ireland. The ePrivacy Regulations 2011 (S.I. No. 336 of 2011) allow email to people at their business address when it relates to their role, as long as each message identifies the sender and offers a free way to opt out. We apply the same rules as in the UK.
United States. We follow the CAN-SPAM Act: accurate sender details, our postal address in every outreach email, a clear way to opt out, and opt-outs honoured promptly.
We do not send outreach email to people in any other country.
5. Customers' Use of Zenning
Zenning's AI employees can send email from a customer's own email account, when the customer connects that account and asks them to. Section 8 of our Terms of Service (Prohibited Conduct) does not allow anyone to use Zenning to send spam, chain letters or other unsolicited communications, or for any illegal purpose. Under that section, customers must not use Zenning to:
- send spam or other unsolicited communications, including bulk email to people who have not asked for it
- impersonate any person or organisation, or misrepresent who a message is from, for example in phishing email
- send viruses, malware or other harmful code
- break any law, including the anti-spam, marketing and data protection laws that apply to the email they send, such as PECR, UK GDPR, the EU GDPR and the CAN-SPAM Act
Customers are responsible for making sure that what Zenning sends on their behalf complies with the law (Terms of Service, section 9.4). If we find, or are told, that an account is being used in breach of these rules, we may suspend or close it, as sections 8 and 15 of our Terms of Service allow.
6. Reporting Spam or Abuse
If you have received email from any of the domains in section 1 that you think is spam, or you think someone is using Zenning to send spam, please email contact@zenning.ai with "Spam report" in the subject line. If you can, include the email itself with its full headers.
We will stop all outreach to the address you tell us about, and to your company's domain if you ask. If your report is about a customer's use of Zenning, we will look into it and act as section 5 describes. Please allow up to five business days for a reply.
7. Changes to This Policy
We will update this policy when our practices change, and change the "Last updated" date at the top of this page.
